eMedical: Submitting Visa Health Results Online to the DHA
What Is eMedical?
eMedical is an electronic system operated by the Department of Home Affairs (DHA) that allows DHA-approved panel physicians (PP) and panel clinics (PC) to submit health examination results directly into the DHA’s system without sending paper records. The system has been rolled out widely around the world and is currently the only official channel for transmitting visa health examination results.
Before eMedical, applicants had to carry their health examination results to a visa office in person or send them by post, which led to delays and the risk of records being lost. eMedical solves this problem entirely by digitising the whole process.
Generating a HAP ID
The HAP ID (Health Advice Processing Identifier) is a health identification number created when you lodge a visa application or when the DHA requests a health examination. It is a mandatory step that links your examination results to your visa application.
How a HAP ID is generated:
- If you lodge your visa application through ImmiAccount, a HAP ID is issued automatically once the application is received.
- The DHA sends a request to undertake a health examination, including the HAP ID, through ImmiAccount or by email.
- You provide the HAP ID to the panel physician when booking your appointment.
- The panel physician enters the HAP ID into the eMedical system to link your examination results to your visa application.
Note: you cannot undertake a health examination before you have a HAP ID. If you are examined before being requested to do so, the results may not be accepted.
How the Panel Physician Submits Results
After the examination, the panel physician or clinic will:
- Enter the full examination results (physical examination, chest X-ray, blood and urine tests) into the eMedical system.
- Attach any additional documents if needed (for example, specialist reports, digital X-ray images).
- Confirm and submit the record to the DHA directly through the system.
After the panel physician submits, you receive a notification through ImmiAccount that your examination results have been received. From this point, the DHA reviews and assesses your health.
Time from Examination to DHA Assessment
Processing time depends on the visa type and the complexity of the case:
- Straightforward cases (no health concerns): usually processed within 2–5 business days after the panel physician submits the results.
- Cases needing further review (a medical condition, a specialist referral): may take several weeks to several months.
- Some priority visa types (for example, an urgent visa) may be processed faster where there is a genuine reason.
While the DHA is assessing your case, the status of your health record in ImmiAccount will show as “Under Assessment”.
Common eMedical Troubleshooting
Some common issues applicants encounter with the eMedical system:
The HAP ID is not working: check whether the HAP ID has been issued by logging in to ImmiAccount. If it has not, contact the DHA to request a reissue.
Examination results not updating in ImmiAccount: contact the clinic directly to confirm whether they have submitted the results through eMedical. There can sometimes be a 24–48 hour delay because the system updates in batches.
The panel physician cannot find your HAP ID in the system: this can happen if the HAP ID was entered incorrectly or has not yet been activated. Provide your full personal details (full name, date of birth, passport number) so the clinic can help look it up.
The record is sent to the wrong person: rare but serious. Contact the DHA immediately to request a correction.
